SEPA is the general professional meeting with a variety of presentation types. CEPO/Psi Chi is specifically for undergraduate researchers and only includes poster presentations. Learn more on the CEPO submission page.

No. Each project or abstract may only be submitted in one format.

No. Each project can only be submitted to one program.

Do you accept submissions with data collection in progress?

Yes, but this must be clearly noted in the abstract.

How will I know if my proposal has been accepted?
Acceptance notifications are emailed in late November (SEPA) or mid-December (CEPO). This email will only be sent to the presenting author.

Registration Questions

Do I need to register if I’m presenting?
Yes. All presenters and attendees must register to participate.

I renewed my membership, but when I try to register it’s asking me to renew again. What should I do?

Email sepa@citadel.edu, and we will update your invoice.

I want to register multiple people at once. How do I do that?

Someone must be designated as the group administrator—usually the person processing the registration. You’ll need email addresses for all participants. After creating a group name, you can add participants by email in the “Add Existing Contact” field. Add registration items (e.g., membership, meeting registration) for each person. Repeat the process for additional members. There is no limit to group size, and everyone appears on the same invoice.

Can my friend, spouse, parent, sibling, or children attend the meeting?

Yes. Guests can be added to your registration and may attend sessions, receptions, and poster presentations.

Is on-site registration available?
Yes. On-site registration hours:

  • Wednesday: 4:00 – 7:00 PM
  • Thursday: 8:00 AM – 3:00 PM
  • Friday: 8:00 AM – 3:00 PM

How can I pay by credit or debit card if I do not have or do not want a PayPal account?

You do not need a PayPal account to pay by credit or debit card.

  1. Select Pay by Credit Card during the registration process and click the PayPal button.
  2. A PayPal login screen will appear. You do not need to log in or create a PayPal account.
  3. Select Pay with a credit or Visa debit card.
  4. Enter your email address and payment information.
  5. If prompted to create a PayPal account, continue as a Guest.
  6. Be sure to turn off the Save info & create your PayPal account option if you do not want to create a PayPal account.

How do I pick up my badge if I already registered?
Pick up your badge during the same on-site registration hours.

I arrive after Friday. How do I get my badge?
Badges will be left out for pick-up after 3:00 PM Friday.

Do I need a badge to attend events?
Yes, badges must be visible in all meeting spaces.

Are there any travel awards or stipends available?

SEPA does not have external funding for students or other attendees.

Can I get a refund if I cannot attend?
Refunds are partial:

  • 60+ days before: 50% forfeited
  • 15–59 days: 75% forfeited
  • 14 days or less: 100% forfeited

I can no longer attend. Can I transfer my registration to someone else?

Yes. Email sepa@citadel.edu to request a registration transfer.

Meeting Program & Scheduling

Where can I find the meeting program?
Once the program is released (usually late Dec.), it will be available here.

How do I know when I will present?
Once the program is released, search the pdf of the program (e.g., Ctrl + F) for your name to find your session.

I need to make an edit, change, or add an author to my proposal. What should I do?

Until the submission portal closes, you should be able to login to make changes yourself. After the submission portal closes, you may direct any requests for edits (presentation titles, authorship, etc.) to sepa@citadel.edu. If you are requesting to add an author(s), please include the first and last name, affiliation, and email address of the new author. Please also let us know the updated author order.

What should I do if I have a scheduling conflict?

The program is very full and meeting space is extremely tight, so please refrain from making any requests for scheduling changes unless a legitimate conflict exists. If you have a legitimate conflict, please email us at sepa@citadel.edu.

Is there a meeting app?
The mobile app will be available for Apple and Android about a week before the meeting. Download instructions will be shared when it is available.

Presentation Questions

How do I know where to hang my poster?
Poster boards are numbered. Your program assignment matches the board number. For example, if the program has you listed as 15, you will be at poster 15 in the poster hall. Push pins are provided.

What size should my poster be?

  • SEPA Posters: One side of a 4 x 8 foot board. You can use as much of that space as you like.
  • CEPO/Psi Chi Posters: Two posters share one side in an “A/B” format. Each poster can be a maximum: 4 x 4 feet.  You can use as much of that space as you like.

Do I need to print my poster?
Yes, presenters are responsible for printing and bringing their posters. Boards and push pins are provided.

What should I bring for a paper presentation?
Rooms have projectors, laptops, and A/V support. Bring a USB or flash drive with your presentation. You are welcome to bring your own computer, if you prefer. Please let the A/V support know when you arrive.

How long are paper presentations?
Paper sessions are usually 50 to 60 minutes depending on the number of presenters. Each presenter has about 20–25 minutes, including questions. A presider will manage timing.

Is there a template for posters or presentations?
No template is required. Follow APA guidelines and check poster dimensions (see SEPA and CEPO/Psi Chi poster information above).

Do I need to submit slides or posters in advance?
No. Submission of slides or posters before the meeting is not required.

Can I provide handouts?
Yes, but you must bring them yourself.
