SEPA 2020 Virtual Summer Meeting

Instructions for the Online Repository and Digital Meeting Selected Proceedings Volume

SEPA has created an online, digital repository that will allow anyone who was scheduled to present at the 2020 Annual Meeting to upload their materials for public viewing.  Additional details and instructions for making your materials available for the repository are presented below.

In addition to providing the free repository described above for anyone who was accepted for the 2020 meeting, SEPA will also be producing a digital conference selected proceedings volume.  The volume will be an interactive PDF file that will list presentations with author information as well as a brief presentation abstract/summary (please, no more than 250 words) for those presenters who choose to be included in this format.  This volume will be organized according to the same topic areas or specialty areas (e.g., Psi Chi) as in the original program made for the in-person meeting in New Orleans, but it will have increased functionality to let the user interact efficiently with the repository by providing hyperlinks to take readers directly to the online presentation files that are submitted for the repository.   Especially noteworthy is that this volume will be copyrighted and can be cited as a published meeting document.

Please note – any presenter who was planning to present his/her scholarly work in New Orleans may include his/her work in the SEPA repository, as well as his/her presentation (with summary) in the planned proceedings volume, at no charge. The deadline for submitting your presentation file(s) and summary is Monday, June 8th.  Once we have received submissions from all interested participants, we will create the digital file and it will be available for purchase for a fee of $20.  Please click HERE to be directed to the registration portal if you are interested in receiving a copy of the digital proceedings volume.

Note – Psi Chi is also offering all students, whether a member of Psi Chi or not, an option to include their presentations in the Psi Chi Research Poster & Paper Repository.  This option is also free of charge and additional details will be forthcoming in a subsequent email as well as posted on the SEPA website (sepaonline.com).

Instructions for submitting your materials for the online repository and conference proceedings volume

Please follow these instructions carefully:

GUIDELINES FOR PRESENTATION FILES:

All presentation files should be submitted to the following location:

Please use this naming convention for submitted files:
For submission to the regular program, use LASTNAME_Poster for poster presentations, LASTNAME_paper for paper presentations, and so on.  Please use the format that was originally accepted for the SEPA program (i.e., if you had a poster accepted, you should be submitting a poster file).
For Psi Chi submissions: LASTNAME_PsiChi
For OPP papers: LASTNAME_OPP
For ECRA papers: LASTNAME_ECRA
For GRSA:  LASTNAME_GRSA
 
Here, LASTNAME should be that of the first/presenting author.

Format for submissions can vary.  We recommend PowerPoint files with overlaid audio recording so that you can verbally “walk through” your poster or discuss each of your slides for paper presentations.  However, these audio recordings are not required for submitting.  If you prefer not to include those, you can submit as PowerPoint or PDF files.  If you use PowerPoint, please also note that you could make use of the Notes function to give the viewer greater contextual, written information about what you would like them to focus on in your slide progression or for your poster. 

GUIDELINES TO NOTIFY SEPA OF SUBMITTED MATERIALS:

After submitting your materials into the Dropbox link noted above, please also send an email to mberan1@gsu.edu that contains a subject line with the file name submitted to the repository (please do NOT attach the file to this email).  In the body of the email include the title and authors (with affiliations), as well as a contact email address for the corresponding author.  This will allow us to confirm receipt of the file so that it can be added to the repository. Please allow 72 hours from submission for a response. 

GUIDELINES AND DETAILS ABOUT PROCEEDINGS VOLUME:

If you plan to pay for inclusion in the Proceedings volume, you must also do the following in the email sent to mberan1@gsu.edu: include a 150-250 word summary of your presentation.  You also may provide a website address that can be added to your university affiliation, a link to your department, or to your faculty or lab webpage if you would like to encourage readers to go to that site.  Please do not include any links to social media accounts, as those will not be used.

Your careful attention to these submission details will allow us to confirm receipt of your repository file(s) and also have a record of all submissions.  For those who include a summary and (optional) site links, the corresponding author will be contacted for payment of the fee for the proceedings volume.  This is expected to be available in July of this year.  The repository will be available also by that time.
