2018 Annual Meeting Information for Advertisers, Exhibitors, and Sponsors

Invitation to Exhibit at the 64th SEPA Annual Meeting
March 6th - March 9th, 2018

The Southeastern Psychological Association (SEPA) will hold its 64th Annual Meeting at The Marriott Charleston, March 6th through March 9th. 

We invite you to advertise, exhibit or sponsor an event at our next Meeting. 

SEPA has a membership of approximately 3,000 and anticipates an attendance of 1,600 attendees at the Convention.

Advertisers

We would certainly be pleased to have your organization represented in our program this year. The book is approximately 100 pages in length and will be professionally printed and perfect bound. Be assured that placing your advertisement in the SEPA Program Book will result in advertising dollars well spent. Hundreds of professors and other professionals in the psychology community, as well as many students will read it.

We print approximately 1,600 copies to distribute to attendees. In addition, we will be selling advertisements (one size only) that will be posted on our website for six to nine months depending on when the ads are purchased.

Exhibitors

You are invited to exhibit at the 64th Annual Meeting for the Southeastern Psychological Association. The Southeastern Psychological Association (SEPA) has a membership of approximately 3,000 and anticipates an attendance of 1,600 attendees at the Convention, from not only the Southeast, but from states across the country and some foreign countries as well.

The Exhibits will be located in the same general area as the SEPA Poster Sessions. This arrangement will encourage movement of attendees through the exhibit area as they register and attend poster sessions.

SEPA exhibits display the following:

  • The latest developments in scientific apparatus,
  • Standard and recently published texts and tests in psychology,
  • Professional and government services relative to the field of psychology, and
  • Academic and professional opportunities for psychologists and psychology students.

The price of the booth includes: the space itself for the entire exhibit period; one 6-foot skirted table, two side chairs, a wastebasket, a sign showing the firm name, janitorial service for the aisles in the exhibit area; and TWO COMPLIMENTARY REGISTRATIONS PER 8' X 8' BOOTH and FOUR COMPLIMENTARY REGISTRATIONS PER 16' x 8'.

  • 16' x 8' Booth — $1,200.00

Exhibitor Setup:
Tuesday, March 6th - 10:00 a.m. to 2:00 p.m.

Exhibit Hours:
Tuesday, March 6th - 4:00 p.m. to 7:00 p.m.
Wednesday, March 7th - 8:00 a.m. to 4:00 p.m.
Thursday, March 8th - 8:00 a.m. to 4:00 p.m.
Friday, March 9th - 8:00 a.m. to 12:00 p.m.

Booth Information:
The price of the booth includes: the space itself for the entire exhibit period; one 6-foot skirted table, two side chairs, a wastebasket, a sign showing the firm name, janitorial service for the aisles in the exhibit area; and TWO OR FOUR COMPLIMENTARY REGISTRATIONS PER BOOTH depending on size.

This price does NOT include electrical outlet or additional tables. The furnishings for the booth are rented directly from the decorator service after you receive your Exhibitor’s Service Kit from them. Electrical services are available from PSAV at the hotel, 843.577.9185.

The booths will be draped and skirted. Sufficient light is provided for adequate general illumination of the exhibit area, but NO individual electrical outlets are provided in the booth price. These must be ordered from the SEPA decorator service.

An Exhibitor's Service Kit containing order forms and costs for renting booth furniture, accessories, additional draping, special work (such as carpentry, painting, additional signs, janitorial services within the booth, floral, photographic, etc.), and information concerning shipping and storage for materials will be emailed to each exhibitor by the SEPA decorator prior to the meeting.

Use of Space:
Reassignment, subletting or sharing any part of allotted booth space is prohibited.

Cancellation:
Exhibit space that has been assigned and confirmed may be cancelled before December 1, 2017. A 50% refund will be provided. After December 1st, only 25% of the payment will be refunded. Should the SEPA Annual Meeting be cancelled due to circumstances beyond the control of SEPA or the hotel, all payments will be refunded in full.

Liability:
The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of injury or damage to exhibitor's displays, equipment, and other property brought upon the premises of the hotel and shall indemnify and hold harmless the hotel agents, servants, and employees from any of such losses, damages, and claims.

All above rules and regulations are to be construed as a part of all space contracts. SEPA reserves the right to interpret them as well as make final decisions on all points the rules and regulations do not cover.

 


Sponsorship Packages

$2,000.00 - Meet & Greet Coffee - Tuesday Night:

  • Your organization will receive a full page ad in the SEPA program book and your organization will be listed on the SEPA website as the event sponsor
  • Your organization will also receive two free registrations to attend the conference.
  • Your organization will receive complimentary signage for your event.
  • There will be a Coffee Station in the poster room.
  • Your organization will receive an exhibitor booth for the duration of the conference at no extra cost.

$ 3,000.00 - Presidential Reception, Wednesday Night:

  • Your organization will receive a full page ad in the SEPA program book and your organization will be listed on the SEPA website as the event sponsor.
  • Your organization will receive four free registrations to attend the conference.
  • Your organization will be acknowledged on reception signage.
  • Your organization representative will be acknowledged at the reception and will have the opportunity to mingle among attendees.
  • Your organization will receive an exhibitor booth for the duration of the conference at no extra cost.

$ 4,000.00 - Awards Reception, Thursday Night:

  • Your organization will receive a full page ad in the SEPA program book and your organization will be listed on the SEPA website as the event sponsor.
  • Your organization will receive six free registrations to attend the conference.
  • Your organization will be permitted to disburse promotional materials during the reception.
  • Your organization will be acknowledged on reception signage.
  • Your organization representative will be acknowledged at the reception and will have the opportunity to mingle among attendees.
  • Your organization will receive an exhibitor booth for the duration of the conference at no extra cost.
